IT-Managed AI
Five Deployment Categories
IT manages AI across five types — from tools available to everyone, to licensed enterprise deployments, vendor-embedded AI, marketplace add-ons, and large-scale solutions.

1. Google Gemini

Standard Workspace AI — available to all (candidates, faculty, staff, contractors)

  • ✅ Native integration in Gmail, Docs, Sheets, and Drive
  • ✅ Web search + Google Drive in one place
  • ✅ Works with images, audio, video, and text
  • ✅ AI-generated content is watermarked (SynthID)
  • ✅ Available to everyone — no special access needed
⚠ Age Restriction: 18+ for Workspace Features Advanced Workspace features require users to be 18 or older — a hard limit. Contact IT for alternatives in instructional settings with under-18 candidates.

2. Claude for Teams / Enterprise

Licensed, IT-managed — $25/user/month · SSO · dept. budget required

  • ✅ Tied to Reach SSO and security infrastructure
  • ✅ Excellent at reading and analyzing long documents
  • ✅ Best choice for building Domain 3 stakeholder tools
  • ✅ Connector tools for Google Workspace, Slack (IT approves)
  • ✅ No age restriction — works in instructional settings
⚠ Behavioral Health Note Claude can be overly cautious with sensitive content including behavioral health topics. If you're in the ACH program, notify IT so they can help configure the right approach.
3. SaaS AI
Canvas Ignite AI · Element BoltAI
AI inside tools you already use. IT activates and reviews for compliance.
4. Marketplace Apps
Google Workspace · Zoom Add-ons
IT approval required before use. Submit a ticket — protects against unvetted privacy risks.
5. Large-Scale Solutions
Claude Code · Azure AI Foundry
Aspirational infrastructure projects. Must run through IT from the start.

ChatGPT is being phased out for work use. It doesn't connect to our Google Workspace, doesn't support university-wide SSO, and falls outside our enterprise agreement. If you're using ChatGPT for work tasks, submit an IT ticket and we'll help you migrate to Gemini or Claude for Teams.

No student records, SSNs, or sensitive personal data ever go into AI tools — even our approved platforms. Non-negotiable.

Humans Decide

AI drafts, analyzes, and suggests. Humans review and take responsibility. AI never gets the final word on anything affecting a real person.

Disclose when AI substantially shaped formal work. Trust is the foundation of everything we do at Reach.
